Unit statuses explained

Every unit in TrackDME has exactly one status, and that status tells you where the unit is in its rental lifecycle. The actions available on a unit detail page change based on its current status, so you can only do what makes sense for where the unit is right now. There are six statuses.

The six statuses

In warehouse

The unit is back home and patient-ready. From here you can Check out (the primary action) to send it to a customer, or Mark in maintenance if it needs service. A unit becomes In warehouse when you mark it sanitized, return it to the warehouse, or finish maintenance.

Out with customer

The unit is currently rented and physically with a customer. The only action is Check in from {Customer}, which starts the return. A unit lands here when you check it out.

In transit

The unit is on the move, typically out for delivery or pickup. Like Out with customer, the action is Check in from {Customer}.

Awaiting reprocessing

The unit has been returned but is not yet clean. It is locked out of re-rental until it is sanitized. From here you can Mark sanitized (which moves it to In warehouse) or Return to warehouse (which skips sanitizing). A unit only lands here if your org has turned on reprocessing, see the section below.

In maintenance

The unit is being repaired or serviced and cannot be rented. The action is Return to warehouse once the work is done.

Sold / retired

The unit has left your fleet for good. It is read-only with no actions, kept so its history stays intact.

Reprocessing is optional

By default, checking a unit in always lands it in In warehouse. If your org turns on reprocessing in Company settings, a matching check-in lands in Awaiting reprocessing instead, and you will see "Checked in, now awaiting reprocessing." While a unit sits in this status it is locked from re-rental, so you cannot accidentally send out gear that has not been cleaned.

To clear the gate, open the unit (or scan it) and choose Mark sanitized. That moves it to In warehouse. If a unit does not need cleaning, Return to warehouse skips the step. Learn more in Reprocessing and sanitizing and the reprocessing glossary entry.

Changing a status

You do not set statuses by hand. Each one is the result of an action (check out, check in, mark sanitized, return to warehouse, mark in maintenance), and every change is written to the unit's History timeline with the user, time, and any note.
