See your current plan and usage, upgrade to Pro or Growth, and manage your subscription. Admin-only.
Billing and plans
Billing is where admins see the current plan, track usage against its limits, and upgrade or manage a subscription. It is admin-only.
To open it, click your user menu (top right) and choose Billing.
Plans
- Free: up to 50 active units, 1 location, unlimited users, the full scan loop.
- Pro: up to 500 active units, up to 2 locations, unlimited users, plus the reprocessing gate, real-time QuickBooks sync (customers and product import), audit-ready exports, and AI assistant access.
- Growth: up to 2,500 active units, unlimited locations, unlimited users, plus order fulfillment from paid QuickBooks invoices, the Insights dashboard (inventory forecasting, rental trends, and product margins), API access, and priority support.
Unlimited users on every plan, always. Active units means units that are not sold or retired, so a long history never counts against your limit. Quoting and AI route planning are add-on modules with their own pricing. You can also review public pricing at Pricing, where new teams can start free or request founder-led setup.
Check your usage
The Current usage card shows how many active units and locations you are using against your plan's limits. If you are close to a limit, the bar turns red as a heads up before you hit it.
Upgrade
- Go to Billing.
- Under Plans, find the plan you want and click Upgrade to {plan}.
- You are redirected to a secure Stripe checkout page. Enter your payment details and confirm.
- You are returned to Billing with your new plan active immediately.
Manage or cancel
Once you have a paid plan, a Manage billing button appears. It opens Stripe's billing portal, where you can update your payment method, view invoices, or cancel your subscription. Canceling takes effect at the end of your current billing period, and your account reverts to the Free plan's limits after that.
Founder-managed billing
Some first-cohort customers may start through founder-led setup before entering payment details in Stripe. If your account is founder-managed, Billing shows a notice explaining that your plan is being managed by the TrackDME team. You keep the selected plan limits while that arrangement is active.
If you want to move to self-serve card billing later, ask TrackDME support to switch the account back to Stripe checkout.
What happens if you're over a limit
TrackDME will not delete anything if you go over a limit after downgrading. You just cannot add new units or locations past your plan's cap until you upgrade again or free up room (for example, marking old units sold / retired).
