Connect QuickBooks

Connect QuickBooks to import your customers into TrackDME and keep them in sync automatically for check-outs.

What connecting does

When you connect QuickBooks, TrackDME imports your customers (name, contact, and address) and keeps them in sync. That means when you check a unit out, your real customer list is already there, no retyping. Learn more about how this works in QuickBooks integration.

QuickBooks sync is included on the Pro plan and above. On the Free plan, the Connection card shows an Upgrade to Pro link instead of Connect, see Billing and plans.

Connect QuickBooks

You can connect during setup or any time from settings.

  1. Open Connect your tools during onboarding, or go to Company settings, open QuickBooks, and find the Connection card.
  2. Click Connect.
  3. Authorize TrackDME with Intuit in the window that opens.
  4. Your customers import automatically and stay in sync from then on.

After connecting, the Connection card shows a "Connected" status.

Keeping customers in sync

On the Pro plan and above, QuickBooks customers sync in real time: create, edit, or deactivate a customer in QuickBooks and it shows up in TrackDME within seconds, no waiting for a background refresh. They also refresh on their own when you load the customers page as a backstop, and you can always force a refresh by clicking Sync now on the Customers card.

QuickBooks customers are read-only inside TrackDME. You can view them, but any edits you make here may be overwritten on the next re-sync, so make changes in QuickBooks instead. On the Customers page, QuickBooks customers carry a QuickBooks badge that links back to the record in QuickBooks.

Creating customers in QuickBooks too

On the Pro plan and above, an admin can turn on Create customers under the Write to QuickBooks section of Company settings. Once it is on, any new customer you add here, including one you create while starting a phone order, is also created in QuickBooks and linked automatically. This only ever creates new customers, it never edits an existing QuickBooks customer, so the read-only rule above still applies to anything already synced.

If the connection ever expires, the Connection card shows "Reconnect needed". Click Reconnect and authorize again to restore syncing.

You can still add manual customers

Connecting QuickBooks does not lock you in. You can still add one-off customers by hand on the Customers page. Manual customers are fully editable and work exactly the same way at checkout. For using any customer when sending gear out, see The scan loop.
