Track nonserialized inventory by quantity

Individual units or shared quantity

Every Product chooses one inventory method:

• Individual units creates a separate Unit for each physical item, with its own barcode, serial number, status, location, customer, and history.
• Shared quantity keeps one in-warehouse count for interchangeable items that do not need separate identities.

Use shared quantity for modular ramp sections, accessories, rails, cushions, and similar stock. Use individual Units when maintenance history, serial numbers, location, or customer custody must be known per item.

Create a quantity-tracked Product

1. Open Products and add or edit a Product.
2. Under Inventory tracking, choose Shared quantity.
3. Enter the number currently in the warehouse.
4. Save.

The Product appears in the catalog with a boxes icon. Its Availability cell shows free-to-promise inventory, the physical warehouse count, current commitments, and the lowest projected balance over the next 30 days.

Reserve quantity on an order

Add the Product to an order exactly like serialized equipment. TrackDME subtracts existing orders from future availability and blocks a new or edited order when there is not enough stock on its checkout date. Pending-payment and undated orders reserve stock too, so they cannot be forgotten during a busy day.

Check quantity out

After the order is paid, open it and find Check out quantity. Enter how many are leaving and confirm. The quantity is removed from the warehouse balance. When every serialized and quantity line is fulfilled, the order becomes Shipped.

Return quantity

Open a shipped order and use Return quantity. Partial returns are allowed. Each return restores the warehouse balance, and the order becomes Completed once everything is back.

Adjust the physical count

When a count changes outside an order, open the Product and update In warehouse. Upcoming reservations remain visible separately, so correcting the physical count does not erase customer commitments.

Import quantity inventory

Magic import accepts Tracking mode and In-warehouse quantity columns on Product files. Use "quantity" as the tracking mode and a whole number of 0 or more for the starting count.
