The fastest path to your first scan: add your products, scan your units in with bulk add, then check equipment out and back in.

Quick start: get live this afternoon

Four steps get you from an empty workspace to a real scan: add your products, scan your barcoded units in, then check equipment out and back in. TrackDME tracks where your equipment is and whether it is ready to rent, and it complements your existing billing system rather than replacing it.

If you have not signed up yet, start at the onboarding flow. It can read your website or import from QuickBooks to prefill your catalog, collect your main warehouse address and business hours, or let you start empty and follow the steps below by hand.

1. Add your products

A Product is the type of thing you rent, like "Standard wheelchair" or "Hospital bed". On the Products page, click to add one, give it a Name, and save. Add a category and photo if you want, but neither is required to move on. Full options (AI website prefill, QuickBooks import) are in Set up your product catalog.

2. Scan your units in with bulk add

A Unit is one physical, barcoded item, an instance of a Product type. If you already have a stack of labeled gear (say, 20 wheelchairs), do not type them in one at a time:

  1. On the Products page, click Bulk add on that product's row.
  2. Optionally pick a Location at the top, every unit you scan gets it.
  3. Scan each barcode. Each new one is created immediately and marked In warehouse.
  4. Click Done when you run out of gear.

Only have a few items, or need serial numbers? Add units one at a time instead, see Label and add your units. For a full spreadsheet of existing inventory, see Import your data.

3. Check equipment out

Checkout needs a customer to exist first, add one on the Customers page or sync them from QuickBooks. Then:

  1. Open the Scan page and set the mode picker to Check Out.
  2. Scan an in-warehouse unit. TrackDME jumps straight to the checkout form.
  3. Pick the Customer and confirm.

See Check equipment out for delivery addresses, expected return dates, and other options.

4. Check equipment back in

  1. Back on the Scan page, set the mode picker to Check In.
  2. Scan the unit. It checks in automatically with a success chime, no form, no extra taps.

That is the whole loop: scan out, scan in. See The scan loop for all three scan modes and what the sounds mean.
