Use the unit detail page to find a unit, run status actions, edit or delete it, and read its full append-only History.

Manage units and statuses

The unit detail page is where you do everything for a single physical unit: see where it is, run actions, and read its full history. Every barcoded unit has its own page, reachable at /assets/{id}.

Find a unit

  1. Go to Units.
  2. Search by Product name, category, Product number or SKU, barcode, serial number, status, location, or customer. You can also use the status filter to narrow the list (up to 200 units show at once).
  3. Click a unit's barcode to open its detail page.

The Units page shows the total number of tracked units in the header. Its status filters show counts for All, In warehouse, Out with customer, and In maintenance, so you can see your inventory mix and filter the list from the same control.

You can also open a unit by scanning its label on the Scan page. The Units list shows each unit's product type, status badge, where it is (a customer or a location), and its due date, which turns red when the unit is overdue.

Bulk actions on the Units list

To act on more than one unit at once, click Select at the top of the Units list. A checkbox appears on each row, plus one in the header to select or clear everything currently shown. Once you have checked at least one row, a bar appears showing how many are selected with the available bulk actions, currently Delete.

Bulk delete asks you to confirm the exact count before doing anything ("Delete 12 units?") and cannot be undone. This is the fastest way to clear out inventory, for example if you are migrating your records to another system.

Read the facts card

The top of the detail page is the facts card: barcode, status, product type, serial number, and current location. If the unit is out, it also shows the customer, delivery address, and expected return date. This is your at-a-glance summary of where the unit stands right now.

Read the lifetime report

Below the action buttons, the Lifetime report shows how many times the unit has been rented, estimated revenue from order-linked rentals, and a table of those order rentals by customer, invoice, line, checkout date, return date, and estimated revenue. Revenue is estimated from the order invoice total and split evenly across the equipment units on that order, so direct scan checkouts without an order still count as rentals but may not have revenue attached.

Run actions

Below the facts card are inline action buttons. Which buttons appear depends on the unit's status:

  • In warehouse: Check out plus Mark in maintenance.
  • Out with customer or In transit: Check in from {Customer}.
  • Awaiting reprocessing: Mark sanitized plus Return to warehouse.
  • In maintenance: Return to warehouse.
  • Sold / retired: no actions.

This keeps you from running an action that does not make sense for the unit's current state. To flag a unit for repair, click Mark in maintenance; when it is fixed, open it and click Return to warehouse. For what each status means, see Unit statuses explained.

Edit, retire, or delete

  1. To change a unit's details, click Edit (/assets/{id}/edit). You can update its product type, serial number, and location.
  2. To take a unit out of service permanently, set its status to Sold / retired. The unit stays on record with its full history but shows no actions.
  3. To remove a unit entirely, use Delete. You will be asked to confirm ("Delete this unit and its history? This can't be undone."). Deleting also removes its history, so retiring is usually the better choice when you want to keep the audit trail.

The History timeline

Every unit has an append-only History timeline that records every move: check-outs, check-ins, cleanings, maintenance, and location changes. Each entry shows who did it, when, and any note. This is the unit's device history record, and because it is append-only it makes a reliable audit trail. Entries cannot be edited or deleted, so the record always reflects what actually happened.
