Check equipment out

Rent a unit to a customer using Check Out scan mode or the unit's Check out button, then fill the checkout form.

Check equipment out

Checking out a unit rents it to a customer and marks it as out of the warehouse. You can do this from the Scan page or from the unit's detail page.

Before you start: you need a customer

The checkout form requires a customer, so make sure the customer exists first. Customers come from two places: they sync in automatically from QuickBooks (see Connect QuickBooks), or you can add them by hand on the Customers page. If you have no customers yet, set one up before you check anything out.

Option A: Check Out scan mode

  1. On the Scan page, set the mode picker to Check Out.
  2. Scan an in-warehouse unit. TrackDME jumps straight to the checkout form.
  3. Fill in the form (see below) and confirm.

If you scan a unit that is already out, you will see "Already checked out to {Customer}, check it in first," so check it in before trying again.

Option B: the unit's Check out button

  1. Open the unit's detail page (search for it on the Units page or scan it in Normal mode).
  2. The unit must be In warehouse. Click Check out (the primary action).
  3. Fill in the form and confirm.

Fill out the checkout form

  1. Customer (required). Use the searchable combobox to pick who is renting the unit.
  2. Delivery address (optional). This auto-fills from the customer's default address. Edit it if this delivery is going somewhere else.
  3. Expected return (optional date). Set this so the unit shows up in overdue tracking if it comes back late.
  4. Note (optional). Add anything worth recording.
  5. Click Check out to confirm, or Cancel to back out.

What happens next

The unit's status changes to Out with customer. The expected return date drives overdue alerts, so units past their return date show up in the Overdue section with red dates (see Use the dashboard). Every check-out is recorded in the unit's History timeline.
