Serialized Asset Tracking: DME Glossary

Managing inventory at the individual unit level using serial numbers, so every item's location, status, and history is known at all times.

Serialized asset tracking means managing inventory not just at the product-type level ('we have 12 oxygen concentrators') but at the individual unit level ('concentrator serial #XYZ1234 is currently with patient John Doe at 123 Main St, was checked out on June 1, and is due back July 15'). Every item in the fleet has a unique identifier — typically the manufacturer's serial number, supplemented by a barcode label — and every transaction is recorded against that specific identifier.

For DME, serialized tracking is not a nice-to-have. It is the operational backbone of compliance, billing accuracy, and asset protection. Medicare billing for individual equipment deliveries requires serial numbers on the delivery record. Accreditation requires per-unit reprocessing records. FDA recalls require the ability to identify affected serial numbers in the field instantly.

The practical challenge is capture discipline: serialized tracking only works if the serial number is recorded at every handoff — delivery, pickup, reprocessing completion, maintenance. If field technicians skip the scan, the record is incomplete. The best systems make scanning the path of least resistance: barcode scan at the door, mobile-friendly, one-handed, confirmed in seconds.

Serialized tracking also enables financial analysis: which units have the highest utilization, which have been sitting idle, which have required the most repairs. This data drives smarter purchasing and retirement decisions.
