Dispatch in a DME operation is the function that bridges the warehouse and the field. The dispatcher (or dispatch system) assigns specific equipment units to delivery orders, routes technicians efficiently, coordinates pickup windows, and tracks whether deliveries have been completed and confirmed.
Effective dispatch requires knowing what equipment is patient-ready and available, what orders need to go out today, where they are geographically, and which technician has the right vehicle and skills for each stop. Dispatch errors — sending a technician to deliver a unit that hasn't been processed yet, or sending the wrong model — are costly in time, fuel, and patient satisfaction.
The link between dispatch and inventory tracking is critical. When dispatch assigns a specific serialized unit to a delivery order, that unit's status should immediately reflect 'dispatched' or 'in transit' — removing it from the available pool before the technician even leaves the warehouse. This prevents the same unit from being committed to two orders.
Field technicians who can scan equipment at delivery and pickup — updating status from their phone in real time — eliminate the lag between what happened in the field and what the system knows, giving dispatchers accurate information for the next round of assignments.
