Rental Quote

A proposed price for a rental, given before the customer commits, that becomes an order once accepted and can optionally create an invoice.

A rental quote is the number a supplier gives a customer over the phone or in person before anything is confirmed: these dates, these products, this delivery address, this price. It is distinct from an order, which only exists once the customer has actually committed to the rental.

For DME specifically, a quote usually needs to account for a few things at once: the rental length (since price books are rarely flat per day), a delivery or pickup fee if one applies, and, in a lot of small operations, some amount of case-by-case judgment on price, a loyal referral source, a hardship case, a bulk order.

The gap between a quote and an order is where a lot of DME shops lose track of what they agreed to. A price given verbally, written on a sticky note, or remembered until the invoice is cut can drift from what actually gets billed. Turning an accepted quote directly into an order, with optional invoice creation at the exact quoted price, closes that gap.
