Start with commitments you can verify

A future reservation holds equipment for a specific date range. TrackDME checks availability when staff create or change that hold, so they can avoid promising the same capacity twice. That is different from a fleet-wide inventory forecast that projects stock across all categories and future dates.

Expected returns are plans, not proof of stock on a shelf. An overdue unit remains out until staff confirm its return and, when needed, mark it ready. Treating an expected return as guaranteed availability can make any forecast look better than reality.

Duration and utilization need careful definitions

Recorded checkout and return dates can help a team calculate average rental duration. To calculate utilization, decide whether units in Cleaning or Repair belong in the denominator and how to treat an open-ended rental. TrackDME captures physical events, but its focused workflow does not turn them into an automatic purchasing recommendation.

Margin belongs with your financial records

Rental margin and ROI require revenue and cost. A barcode scan has neither, and a reservation is not an invoice. Keep billing and price decisions in your accounting process. AI is an additional tool, not a shortcut
